Terms & Conditions - Little Holiday Camp

1. Introduction

Welcome to The Little Holiday Camp. These terms and conditions outline the rules and regulations for using our holiday camp services. By enrolling your child in our camp, you agree to these terms and conditions in full. Please read these terms carefully before registration.

 

2. Definitions

  • “We”/“Us”/“The Camp”: Refers to The Little Holiday Camp, including all staff and representatives.

  • “Parent”/“Guardian”/“You”: Refers to the individual(s) registering a child for The Little Holiday Camp.

  • “Child”/“Children”: Refers to any child or children registered to attend the camp.

3. Booking and Payment

  • Booking Process: All bookings must be made through our online booking system or by contacting us directly. Bookings are only confirmed once full payment has been received.

  • Payment Terms: Payment must be made in full at the time of booking, unless an alternative payment plan has been agreed in writing.

  • Late Payments: Any unpaid balances must be settled before the child’s attendance. If payment is not received, we reserve the right to cancel the booking and refuse admission to the camp.

  • Discounts and Promotions: Any discounts or promotional offers must be applied at the time of booking. Discounts cannot be applied retrospectively.

4. Cancellations and Refunds

  • Cancellation by Parent/Guardian: If you need to cancel your booking, the following refund policy will apply:

  • 14+ days before camp start date: Full refund.

  • 9-14 days before camp start date: 50% refund.

  • Less than 9 days: No refund.

  • Cancellation by The Camp: In the unlikely event that we have to cancel the camp due to unforeseen circumstances, you will be offered a full refund or the option to transfer to another camp session, subject to availability.

  • Transfer of Booking: Bookings may be transferred to a different date or child, subject to availability and at the discretion of The Little Holiday Camp.

5. Attendance and Punctuality

  • Drop-off and Pick-up Times: The camp operates from 8;45am-5;45pm, with specific drop-off and pick-up times. Parents/guardians must ensure that children are dropped off and collected within these times.

  • Late Pick-ups: A late collection fee of £5;50 will be charged for every 15 minutes past the collection time.

  • Absences: No refunds or partial refunds will be provided for days missed due to illness or other personal reasons.

6. Behaviour and Discipline

  • Behaviour Expectations: We aim to create a safe, fun, and positive environment for all children. We expect children to behave respectfully towards staff and other children at all times.

  • Disciplinary Action: If a child’s behaviour becomes disruptive or inappropriate, we reserve the right to take reasonable disciplinary measures, including time-outs or, in extreme cases, requesting immediate removal from the camp.

  • Exclusion: In cases of serious or persistent behavioural issues, The Little Holiday Camp reserves the right to exclude a child from further sessions, without refund.

7. Health and Safety

  • Medical Conditions: It is the responsibility of the parent/guardian to inform The Little Holiday Camp of any medical conditions, allergies, or dietary requirements at the time of booking. Any medication that needs to be administered during camp hours must be provided with clear instructions.

  • First Aid: In the event of an accident or illness, qualified first aiders will attend to your child. Parents/guardians will be notified of any incidents or injuries.

  • Emergency Contacts: Parents/guardians must provide up-to-date emergency contact details. In the case of a serious medical emergency, we will seek immediate medical assistance, including calling an ambulance, and inform the parent/guardian as soon as possible.

8. Special Requirements and Inclusion

  • We are committed to ensuring that our camp is accessible and inclusive. Please inform us of any special requirements your child may have so we can accommodate their needs. Reasonable adjustments will be made where possible, subject to the availability of resources and support.

9. Data Protection and Privacy

  • Data Collection: We collect personal data (including children’s details and medical information) during the registration process to ensure the safety and well-being of your child. All personal data is handled in accordance with the Data Protection Act 2018 and GDPR.

  • Use of Data: Personal data will be used solely for the purpose of camp administration, including emergency contact, medical care, and camp updates.

  • Photos and Videos: From time to time, we may take photographs or videos of camp activities for promotional purposes. If you do not wish for your child to appear in these, please inform us in writing prior to the start of camp.

10. Child Protection and Safeguarding

We take child protection very seriously and follow strict safeguarding procedures in line with Ofsted and the London Borough of Hammersmith and Fulham guidelines. All staff members are trained in safeguarding and undergo enhanced DBS checks.

11. Liability

  • Personal Property: We cannot accept responsibility for loss or damage to any personal items brought to the camp. Children should not bring valuable items or electronics to the camp.

  • Injury or Illness: We do not accept liability for any injury or illness that occurs during camp unless directly caused by negligence on the part of The Little Holiday Camp or its staff.

  • Force Majeure: The Little Holiday Camp is not liable for cancellations or changes due to events beyond our control, such as extreme weather, natural disasters, or government regulations (including COVID-19 related closures).

12. Complaints Procedure

We strive to provide an excellent experience for all children and parents. If you have any concerns or complaints, please speak to the camp manager or contact us in writing at info@littleholidatcamp.co.uk

We will endeavour to address all concerns promptly and professionally.

13. Changes to Terms and Conditions

These terms and conditions are governed by the laws of England and Wales. Any disputes will be subject to the jurisdiction of the courts of England and Wales.
